Business Analysis

e-Zee can provide you with experienced business analysts. e-Zee operatives have many years’ experience being employed by, or providing services to, all the major software suppliers including Acturis, CDL, Open-GI , SSP and TGSL. This means we have a proven record in software development with end-to-end experience of the project life-cycle. We also have proven experience in interacting directly with end-users and are results orientated with good communication and interpersonal skills.

  • Step 1: Fact finding

The first step is to establish the areas where you are having difficulty in delivering services or solutions. Speak to the appropriate areas of your business to ascertain where their particular blockers are and determine whether additional dedicated e-Zee resource could provide the impetus you need.

  • Step 2: Prioritise

Look at the deliverables and establish the priority order. The UK Insurance market is a dynamic environment and there is always pressure to have a product or service operational or available within a very tight deadline. This will determine where additional e-Zee resource can have the biggest impact.

  • Step 3: Speak to e-Zee

With all this information to hand you are now in a position to approach e-Zee and under the umbrella of a non-disclosure agreement (NDA) engage in informal discussions about where e-Zee can provide the most appropriate personnel to engage with your resources.

  • Step 4: Cost Benefit Analysis

With a clear view of blockers and priorities and the informal financial input from e-Zee you are in a much better position to produce a cost benefit analysis that, with e-Zee as your ally, should be well received by your board.

  • Step 5: Proposals and Pricing

Should you wish to proceed, e-Zee will provide you with a formal proposal featuring the scope of works, consultancy rates and the expenses. This will need to be signed by both parties before e-Zee commence any work. The extent of the proposal will be determined by the amount and quality of preparation you have undertaken to date.

  • Step 6: Additional Services

It might be worth noting that e-Zee is experienced in all aspect of system implementation, from data mapping and migration to system configuration. Our Project & Implementation Management factsheet may be useful. If you are having bespoke products created for delegated authority products and require assistance with either creating or testing these products (for your back-office or web solutions), please also have a look at our Product Building Services and Testing Services factsheets.

System selection

e-Zee can offer many services to assist with the selection of new strategic IT solutions. These range from creating an ITT (Invitation to Tender) right through to final selection and even implementation. We see this process as a series of steps and e-Zee can either run the complete process or you can select help with specific steps as required.

  • Step 1: Fact Finding

The first thing to do is establish exactly what your new solution needs to do. e-Zee can run a series of workshops with each of your teams, such as finance, marketing or renewal processing. e-Zee will ask detailed questions in each workshop to extract the requirements. We say: “You don’t know what you don’t know”. It is too easy to set your requirements around what you have today and not what your business needs from the new solution.

  • Step 2: ITT Creation

e-Zee will create a full ITT for submission from the output of the fact finding workshops. This document will contain sections ranging from corporate information about the responding supplier to specific sections for each functional area. The actual ITT can be created with automatic scoring to give an instant view of the results. This scoring will also be weighted to give a clear view of the best matches by section. We also recommend that manual adjustments/overrides be included to give you the opportunity to evaluate the responses and adjust the scoring where necessary.

  • Step 3: Provider Selection and Submission

e-Zee can help recommend the most suitable software suppliers to submit your ITT to. E-Zee has worked with all the main suppliers and has an excellent feel for the market. Having created a target list, eZee can even handle the submission process and responses to all supplier questions. E-Zee essentially handles this time consuming process until the closure date when all submissions must be received.

  • Step 4: Review and Analysis

Once all submissions are received, e-Zee can collate into a single working document with the scoring presented for comparison. The result will allow you to see which supplier is best suited overall or look at specific sections, such as renewal processing. We also recommend flagging questions as “general” and “must have”. We can then additionally rate each supplier by these categories. This step will lead to a short list of suppliers to proceed with.

  • Step 5: Demonstrations

For your short list, demonstrations and workshops need to be arranged. eZee can liaise with the suppliers and co-ordinate these activities and even attend with you if required. You never know, we might ask questions you hadn’t thought of

  • Step 6: Proposals and Pricing

When you receive proposals and pricing from your short listed suppliers, we can help review these with you. There are many things to consider from the basis of licensing (are they rental or in perpetuity), to services rates and the process for system upgrades or charges for bespoke development. A view on the overall costs and payment profiles may be useful to you.

  • Step 7: Contracts

Once you have made your final selection, e-Zee can also review the contract for you. Although you should have this document reviewed by your solicitor it may be useful to have a view on the implications of the terms included.

  • Step 8: The Next Step

You will now be moving forward to implementation. It might be worth noting that e-Zee is experienced in all aspect of system implementation, from data mapping and migration to system configuration. Our Project & Implementation Management factsheet may be useful. If you are having bespoke products created for delegated authority and require assistance with either creating or testing these products (for your back-office or web solutions), please also have a look at our Product Building Services and Testing Services factsheets.

Polaris product development

One of e-Zee's main services to the industry is to provide Productwriter Developers to assist Insurers, MGA's and Brokers with the building and testing of Polaris products using the Productwriter toolset.

One of e-Zee’s main services to the Industry is to provide Productwriter Developers to assist Insurer’s, MGA’s and Brokers with the building and testing of Polaris products using the Productwriter toolset. Most of the major Software Houses and a large number of proprietary Broker systems now run the Polaris Run Time Environment rating engine and given the dynamic nature of the market, in-house resources are often insufficient to cope with the demands placed upon them. e-Zee can provide experienced product builders who can start adding value immediately given their pedigrees.

Testing services

e-Zee can assist in all areas of testing. The services e-Zee can offer range from product testing, user acceptance testing, functionality testing to distribution testing.

Product Testing - So you have agreed a new exciting product for your customers. You have an insurer prepared to underwrite it. You have the market to sell it to and you have decided on your distribution strategy for your product. Now the practicalities.... Are you writing the product yourselves? Is your software house writing it for you? Is your insurer writing it and passing it to your software house? Whichever is the answer you will need to test that the pricing and terms are correct. You may also need to test that the product has integrated with your back office software. e-Zee’s team of testers are uniquely experienced in testing such products to ensure they are ready for market. We will create a test plan, execute against this and provide evidence of the results.

Functionality Testing - Your software provider has written something especially for you, but does it really do what you need and not impact on other existing areas of your system? How will you evidence to your business and any external organisations that you have tested it properly? e-Zee will create and execute a test plan for the appropriate functionality and provide results giving you peace of mind that testing has been executed and is evidenced.

User Acceptance Testing - You have made the biggest decision of your business life and chosen a new partner for your back office software. Or you have chosen to take an upgrade from your existing supplier or moved a new business line onto your existing platform. Does it really do what you needed and expected? You will require a plan to test against to ensure that a new solution, upgrade or addition to your existing platform is fit for purpose before going live. Again, e-Zee can create and execute this plan and provide the results.

How much testing? - Testing is an art form. The breadth and depth of your testing will be a matter of risk acceptance within the footprint/product/functionality and may depend on your distribution strategy. Where there is a higher exposure to errors, such as web quotes, you may need to have more robust testing. eZee can help you review the product and the potential market and identify the volume and type of testing needed to meet your risk attitude and profile.

How to prepare for testing - Establish test scripts, identify test teams,  establish error reporting processes. e-Zee can write and prepare test packs and cases, or work with your own people to guide and start them on the process.

Testing and Test Management - Where resource is tight you may need support for the actual testing or you may need support for the management of the test process. e-Zee has experienced testers and test managers who can work with your people to ensure robust business practices and to help manage the error reporting back to your suppliers/insurers.

Supplier Management

e-Zee can provide you with assistance in managing your relationship with your software supplier. e-Zee operatives have many years’ experience being employed by or providing services to all the major software suppliers including Acturis, CDL, Open-GI , SSP and TGSL. This means that e-Zee operatives have a detailed knowledge of their software and access to the senior people within those organisations.

  • Step 1: Speak to e-Zee

Whatever information you have we can work with. What are your frustrations, needs, desires and what is the impact of these on your business plans? We can create a process and plan to make sure that you are getting the attention you deserve from your supplier.

  • Step 2: Fact Finding

The first thing we will do is detail all your frustrating problems and issues. This is something that isn’t always readily available. We will speak to all areas of your business to ascertain their particular headaches and allocate each problem to a category – software functionality e.g. the accounts won’t balance, software performance, the quotes engine is slow or software house service level - they never respond to e-mails or calls.

  • Step 3: Software House Contract

The next thing we will look at is your contract(s) to determine just what you have actually signed. Software contracts are generally biased towards the software house, so limits of indemnity will be minimal and they will not be responsible for any errors in the software or any consequential loss. There should, however, be a warranty that states that the software will perform in accordance with the specification and there should also be a service level associated with problems and incidents. The contract is important as that is where the culture of the software house is reflected.

  • Step 4: Prioritise

Having studied the contract we will have better idea of what you are up against so it now time to start prioritising your problems and issues in the order of financial impact / compliance requirements or business growth. To start with we will focus on items that evidently cost you money – direct costs such as system downtime or special rates not contained in quote engine. Then start looking at your processes and try and determine the indirect (or invisible) costs to your business e.g. do your printers produce duplex output? How long does it take to close the month/year end accounts?

  • Step 5: Speak to your Competitors

It’s often an isolated existence for insurance brokers but a problem shared is a problem halved as the saying goes. Many of your competitors will be experiencing the same problems as you and may have secured a solution or a work-round. It’s therefore a good idea to go and visit one of your competitors using the same software and talk. They will be more than happy to share their experiences with you and you may even acquire an ally in your tussles with your the software house.

  • Step 6: What now?

You will now be moving forward to achieving results. It might be worth noting that e-Zee is experienced in all aspect of system implementation, from data mapping and migration to system configuration. Our Project & Implementation Management factsheet may be useful. If you are having bespoke products created for delegated authority products and require assistance with either creating or testing these products (for your backoffice or web solutions), please also have a look at our Product Creation and Testing factsheet.

  • Step 7: Proposals and Pricing

Before being appointed e-Zee will provide you with a formal proposal featuring the scope of works, consultancy rates and the expenses plus a contract.

System Use and Optimisation

What do you have and how do you use it?  Many brokers become frustrated when their existing technology does not give them the results they need or want. Frequently this frustration is not helped when the technology suppliers are not able to fully understand your business processes. The e-Zee team are all industry people who come from a broking or insurer background with a natural understanding of your business.

Management Information - Can you see what you have, what you have done with it and what you could do? The e-Zee team can work with your people to generate a “Key Indicator” report that highlights those key elements of management information that help you run and manage your business. Our consultants are able to help implement data dashboards, review and understand soft house supplied reports or even create new reports for you in various tools, including Crystal.

Accounting Functions - It is not uncommon for your technology suppliers to have limited knowledge about accounting practices for Insurance Brokers, MGAs and Insurers. There may be opportunities to increase productivity, reduce errors and improve ROI. e-Zee can review these and provide tangible support for changing business processes.

Renewal Processes - Insurance renewals are a highly complex area for your business. Is your software helping you to make the most of your people? Your highly skilled people need to be able to concentrate on the retention side of renewal processing, not on the data entry side. e-Zee can review your renewal processes and help you utilise the more functionally rich areas of your software solution to streamline and automate many areas of renewal processing.

i-Market and other Commercial Quotes - Are you up to date on the opportunities around SME rating and the capabilities that your software house provides? e-Zee has worked with the main solutions for commercial processing and understands their capability. We can help you implement and extract the maximum benefits from the available functionality to help you gain advantage in this competitive area.

General System Reviews - e-Zee is uniquely placed to help any broker maximise its return on investment in technology. With experience of the main software houses and their use at a wide range of brokers, e-Zee can provide useful insight into your current adoption of technology. The e-Zee team can review your business by talking and working alongside your people to review all the areas of your software usage and create a report of where improvement can be made, with short term wins and longer term strategies for maximising return on your IT budget.
